You may have noticed that the ClubReady front end web site has been redesigned. We’ve made so many updates and changes to the ClubReady system that the old site was a little out of date. We’ve also added an overview video and some of the video testimonials that were previously on the blog. The blog is now also integrated with the main site rather than being separate. |

Setting Club Targets With A Clear Daily Picture Of Actual Vs Month To Date Target
A new setup item has been added that allows a club to set some targets for key measurements such as sales, new customers, membership leads added / converted.
This is in Setup > Defaults > Club Targets in the admin login area. The targets are slightly different dependant upon if the club is set to PT studio or Membership Club. Below is the targets entry screen for those two different types of club setup
With ClubReady set to function as a membership club then targets can be set for membership leads added and leads converted (new members). With PT studio’s - the membership leads targets is not relevant and only prospects (PT prospects) and new services clients targets are available. In both - a total sales$ target can be set. Targets are set on a 31 day Month basis - and if the month has 28, or 30 days then the target for that month is automatically adjusted.
Some new dashboard ‘widgets’ have been added to reflect these target settings and the sales snapshot dashboard ‘widget’ has also been changed to incorporate a target if one has been set. These new ‘widgets’ are available to add to the dashboard by unlocking the dashboard & adding them.
So - as an example - a sales target has been set as $10,000 a month - this is reflected in the sales snapshot chart example below
Having the ability to see at a glance exactly where the club is vs the target during the month is quite powerful - because it allows for adjustment in efforts on a daily basis rather than not really knowing where you are vs an often un-documented goal.
Sales is the final outcome - but sales are ultimately created by addition of leads, prospects etc so tracking them vs targets is also key to actually creating results.
Because these are available on the dashboard & the dashboard can now be customized to suit the admin user - some very relevant type dashboards can be created - for example the dashboard of a user who is focused on generating new members in a membership club might have a dashboard that looks like this :
But - a user who’s main focus was Personal Training Sales in a Studio might have a dashboard more like this :
In both examples - the user can see at a glance exactly what they have to do right now to get back on track.
Customizing Your Admin Login Dashboard
Up until now the admin dashboard was a fixed collection of information panels - but it’s become clear that this is somewhat limiting because different types admin users want & need different things on their admin login dashboard. A ClubReady user that only uses ClubReady as a customer wellness portal is interested in different things than the manager/owner of large membership club, or the admin user that mainly monitors the front desk.
Now, the admin dashboard can be customized to look and have the info that the admin users wants. Information panels on the dashboard have been turned into ‘widgets’ that can be removed, added, moved around. Over time we’ll add more & more ‘info widgets’ that will provide an even greater choice for customization of what can appear on the dashboard.

Clicking on ‘unlock the dashboard’ allows all the current info widgets on the dashboard to be moved around, they can be deleted, and unused panels can be added. Clicking ‘Save Changes & Lock’ - saves any changes and the admin users dashboard will always be fixed that way until unlocked & changed again.

Some of the existing info panels have been improved somewhat - but we’ll be adding more widgets that can be added to the dashboard - pulling snapshots from the more detailed reports. Also - let us know - if there is some key info you are always looking at & would like that available to add to your admin dashboard - we can add it.
Electronic Bank Drafts / Adding Setup Fees To Sales Packages
The ability to take drafts from bank accounts and also setup fees on purchase commitments has been added to the purchasing/billing system.
To accept eChecks - this has to be enabled in EFT setup & also the club must have an eCheck account with authorize.net.

This then functions the same as credit cards when it comes to recurring payments - instead of charges going to a credit card - the payment automatically gets debited from the clients bank account. Written checks can also be ran as eChecks - which eliminates the need to take them to the bank.
Another addition to the purchasing system is the ability to add setup fees - to both recurring billing plans and also to sales of multiple packages.
Barcode Check-In
Barcode identification has been added to the check-in system. This completes the different authentication methods available to the check-in system & is selected in Kiosk setup (Setup > Default Settings > Kiosk Setup).
Instead of pincode entry or username/password the kiosk waits for a client barcode to be scanned.
Any USB barcode scanner can be used.

Setting up client barcodes is easy. Any barcode can be used - a client may have a grocery card, library card etc they want to use, or you may have purchased a stack of pre-printed key fobs that contain unique barcodes. The system will not allow the use of a barcode that has already been assigned to a different client.
When a prospect/customer is added - you can scan in an existing barcode or if no existing barcodes are available, the system can generate one that you either use on your own cards or replace later when you have a keyfob available to scan in.

If you let the system generate a barcode then there is an option to include the generated barcode in the new customer welcome email - so the client can print it & use it.
Updating a barcode is easy - if the barcode option is on then a new option appears in customer options. This allows you to either scan in a new barcode, or to auto-generate a new one.

This completes all the check-in features. Multiple options for validation - whichever fits the club best, session validation - including signature sign-off, and advertising/communication on the check-in screen.
Session Electronic Signature Sign Off At Check-In
We’ve made an addition to the check-in system to allow for electronic signature sign-off of booked sessions by the customer. This type of additional session confirmation is an option vs the existing client confirmation of just pressing a confirm button after check-in. As with that type of confirmation - if setup this way - trainers cannot log off (& get paid for) the session unless the customer has confirmed they were there for it (or an admin logs as no-show) This is a pretty much rock solid way to prevent any kind of trainer fraud.

So, the process is, the client walks in, checks in at the check-in kiosk with their pin code or username/password (or barcode coming very soon) depending on how the check-in kiosk is setup to validate the user. Then, if they have a session they are asked to sign off that they are there for that session. Trainers can get around (often with the clients permission) just a check-in, but signing a persons name is out & out fraud that any “rational” person would think twice about doing.

After signature the check-in resets for the next user & the signature is stored in the database in an encrypted format. Viewing booking details highlights if the check-in / signature occured - but the signature is not shown under normal viewing of bookings. Trainers can never see a previous signature entered by a customer.

In the reports section a new lookup booking ID tool has been added - when looking up a booking here then the signature captured electronically at check-in can be viewed. Only certain admin users would then have the ability to actually view signatures.

Bar code check-in will be added to the check-in system very soon - within the next week or so.
New Provider Permission - View Client Session Balances
A new provider permission has been added so trainers can view their clients session balances, bookings - past & future from their login area. Previously this was only available to admin users (& to individual clients from their client login area). Now, if trainers are given this permission they can view this info directly from their dayview quicklinks (& also from customer options).

100% Paperless Client Contracts
Contracts for purchases was added to the system a while back, but they still required printing & signing. They could be scanned and uploaded but of course thats pretty low-tech & cumbersome.
Now, with the addition of a low cost USB signature pad - contracts can be signed electronically & the client signature is added directly to the pdf contract document. No more paper, no more storage in files & no more mailing or fedexing & as always - available to the client online.
ClubReady On The TV News!
One of our non-fitness club partners are two great guys who have a wellness/weight loss radio show in Atlanta called ‘DrFitness And The Fat Guy’.
Adam (Dr Fitness) and Lee (The Fat Guy) - use ClubReady to provide an online wellness service (Lose Weight With Dr Fitness & The Fat Guy). Basically - they use the client login with non of the scheduling stuff turned on - only the nutrition/exercise/discussion etc part of the system.
They were recently on the daily news in Huntsville, Alabama & demo’d the site on air. For all ClubReady users out there - you will recognize what they demo as exactly what your clients get, just branded with the Dr Fitness look and feel.

Just goes to show that as a club owner your clients are really getting cutting edge newsworthy tools & your clients actually get even more - they get to schedule online & manage their account with you!
Client Export Of Their Schedules To Outlook / iCal
This is a new feature that has been added to the client login area. Clients can now export their booking schedules to Outlook (or iCal on a Mac).

The link for the Outlook export is on the clients booking month view page. Clicking on it opens an vCalendar file (.vcs) which is automatically then loaded into Outlook and all the bookings added to the Outlook calendar.
