Handling Paper Agreements Electronically
ClubReady has support for electronic agreements signed with an electronic signature pad - but some clubs prefer regular paper agreements and beyond actual agreement documents there is often other paper floating around. The problem with paper is it takes effort to file it, to keep it from sitting in piles and when you need it - it’s often hard to find quickly.
ClubReady now has a feature to handle this. Clubs can fax any paper to a standard fax number, ClubReady servers pick up the fax and store electronically the document as a pdf.
All a club has to do is let ClubReady know the club fax number(s) by entering them in setup
Any fax will then show up in ClubReady within a minute or so, ready to be tied to the correct customer. For full service clubs even that part happens automatically.
Assigning to customer agreements is easy - ClubReady suggest the most likely customers/agreements and also gives the option to look them up while viewing the pdf. Assignment lets you indicate if the file contains a signature.
Once assigned - the pdf is always tied directly to the customer agreement & the agreement is marked as containing a signature if the faxed document was signed. The same feature can be used for any document not just agreements.
