Take The Hard Work Out Of Personal Training Lead Management

In the previous blog post I wrote about a new addition to the system that lets a club create different prospect type classifications. At the end of that post I mentioned an addition that will allow for rules to be created that auto classify prospects - this has now been added and is detailed below.

Every prospect type created can now have multiple rules associated with the prospect type. What this means is when certain things happen (eg time elapses, booking no show etc) then an action can be taken automatically by ClubReady (eg send an email, reclassify to another prospect type). The automatic actions are run once a day.

Here is an example. Lets say we have a prospect type called “Interested” - lets set up some rules.

If the prospect doesn’t show up for a scheduled free consultation - lets automatically send them an email, give them another free credit to book and change their prospect type to “Consultation No Show”. ClubReady already knows that they didn’t show up because their booking is in the scheduling system - so lets use that data automatically by setting up a rule.

As many rules as needed can be added - here’s how that rule (rule 2 in the screenshot) looks after I clicked ‘Add The New Rule’. Prospect types and rules only have to be setup once & of course we can help you create them.

You can see that there is also another rule created (rule 1) - if the “interested” prospect completes a consultation booking then move them to a new prospect type ‘Completed Consult’

Other rules could be things like - for example, lets say a prospect is an ‘Interested Later’ prospect - then a rule could be created that after 30 days have elapsed put them back into the ‘interested’ prospect bucket and also automatically send them an email & give them a free consult to book online.

Why is all this important? Well - by being able to create whatever prospect buckets a club needs & by creating some rules that reclassifies the prospects, sends emails, assigns booking credits etc based on what the prospect does - a club can create a solid prospect management process than anybody can manage & manage consistently. In addition - conversion % from prospect type to active customer can all be tracked (that report will be added soon) & as the saying goes what gets measured gets improved. We are going to create a standard set of prospect types & rules that all new CR instances have as default - but any prospect process can now be mapped & process always means more sales - especially when you are dealing with hundreds of prospects.

So - What about active clients that are coming to the end of their commitment?

A new addition has also been added to handle this. It’s a new setup item under System Defaults > Customer Status Rules.

Here you can setup a rule for active customers that have no future planned committed purchases and no remaining booking credits. Based on the date of their last booking - they can be automatically reclassified to Not-Active, or to any existing prospect type.

In the screenshot example - 30 days before their final booking - change their status from Active back to a prospect as prospect type “re-sign”. This will then make it very visible to front desk that this customer needs to be re-contacted. The number of days can be before, after their last booking - the new status can be whatever you choose.
