Personal Training Lead Management Addition

A new ClubReady feature has been added to manage personal training prospects (or prospects for whatever services you offer).

This new addition has many uses for the small PT studio’s using ClubReady but is even more applicable to larger membership clubs using ClubReady where every new club member is essentially a personal training prospect & managing those prospects to achieve the maximum conversion rate can be time consuming & can also be a hassle to track. This new feature makes that process very easy.

Before this addition customers/prospects added to the system were only able to be either a prospect / active / not active. That’s still the same, but now the ability has been added to create different categories of prospects. These categories can be set to be selectable when adding a new prospect & the welcome email used and and free sessions (ie consultations) can be set as a default for the prospect type.

For example - if somebody doesn’t qualify for personal training for some reason, or they are a student & unlikely to buy personal training - then there’s no use in giving them a free consultation and maybe they don’t even get a welcome email. A person who is interested later might get a different welcome email than somebody who is interested right now. These ‘rules’ can be tied right to the prospect type - it makes things consistent & strengthens the club process for new prospects.

Adding Different Prospect Types

Any that are set to be ‘initially selectable’ show as an option on the ‘add customer’ page in the admin area. When a prospect type is selected then the email & free package defaults for that type are automatically selected.

The lookup customer tool has been updated so when ‘Only Prospects’ is selected - it shows some additional filters to filter prospect type and also how long the person has been in that prospect category. Also - the ability to see the last internal note posted has been added.

The quick customer detail when using lookup customer has also been improved to facilitate quicker handling of prospects. This now has the ability to reclassify and add notes without having to go through to the detailed options page for the person.

A new page has been also added in the reports section that allows for a detailed review of prospect types, including how long they have been that prospect type and some tools to make it quick & easy to change their status and to add notes.

This new addition allows for a fine granularity in terms of classifying prospects and tracking how long they have been a certain prospect type. As soon as a prospect buys they automatically become active but their path from new prospect added thru to active customer is tracked by ClubReady and a report will be added soon that shows the conversion rates, time for conversion and also the ability to show that data vs club employees. Tracking conversions over time is key to improving them.

The really cool addition to all this will be added in the next week or so - the ability to create rules for prospect types so they automatically reclassify themselves based on things that happen or time elapsed. For example - if a prospect doesn’t show up for a consultation session then that data is all part of the ClubReady scheduling system and it’d be easy to automatically reclassify the prospect plus automatically email them a new session credit & request that they book it. An ‘interested later’ could be automatically reclassified after say 60 days to ‘interested later - recontacted’ with an auto email sent & internal notes automatically stored to log that the contact occured.

We’re hoping this will be a useful tool that we can develop further over time based on your feedback.
